What will I be doing?

This is an exciting opportunity to join Somerset Council as part of our Facilities Management team, supporting the smooth running of a diverse portfolio of over 140 buildings across the county. As a Facilities Administrator, you will play an important role in helping to keep our workplaces safe, compliant and operating effectively for colleagues, partners and the communities we serve.

Working as part of a supportive team, you will be involved in a wide range of day-to-day activities, giving you the opportunity to build on your administrative skills or develop experience within facilities management. This is a varied and hands-on role where your contribution will help ensure services run efficiently every day.

Role Summary

This is an administrator within the Facilities Management team supporting the whole function in the delivery of Corporate Landlord function and Health and safety compliance checking across multiple sites (currently more than 140 buildings).

The role provides essential administrative and operational support to the Facilities Management team, helping to ensure that council buildings are safe, compliant and well maintained. It supports the coordination of service requests, maintains accurate records, and ensures effective communication between teams, contractors and service users.

By supporting day-to-day facilities operations and compliance activities, the role contributes to the effective running of Somerset Council’s estate, helping to provide safe and functional environments for staff, partners and the public.

What you’ll do – Key Responsibilities

  • Provide front-facing customer service for the Facilities Management function, responding to queries from staff, partners, tenants and the public
  • Manage and respond to Facilities Management service requests, ensuring timely updates and resolutions
  • Maintain accurate records and systems to support statutory compliance and day-to-day operations
  • Identify, report and appropriately escalate Health and Safety issues
  • Support the management of Security Access Control systems, including access permissions, reporting and staff inductions
  • Raise purchase orders and process goods received notes, delivery notes and invoices
  • Support contractor activity on site, including signing in, issuing passes and ensuring RAMS are in place
  • Provide general administrative support, including managing mailboxes, producing documents and coordinating meeting rooms, stationery and workspace requirements
  • Maintain inventories of furniture and equipment
  • Communicate effectively with staff, contractors, elected members and external agencies
  • Travel to other sites across the county to provide cover where required, including supporting security incidents when needed

What kind of experience or qualifications do I need?

Essential

  • Good GCSE Grades (A–C) in Maths and English
  • Current driving licence (Car)
  • Competent in the use of MS Office, with relevant IT skills to input, manipulate, retrieve and present data and information
  • Ability to communicate clearly and effectively in spoken English to engage with colleagues, customers and stakeholders, with good interpersonal skills
  • High level of accuracy and attention to detail, with strong numeracy skills
  • Self-motivated and self-aware, with commitment and enthusiasm
  • Flexible and adaptable, with the ability to work independently as well as part of a team
  • Confidentiality, tact and diplomacy in handling information and interactions
  • Flexibility to travel to other offices with short notice

Desirable

  • Certificate NVQ2/3 in Administration
  • Data input experience

28 days annual leave pro-rated , plus bank holidays

Part Time – 15 hours to be worked over 2 days

There might be a requirement to work from different locations across Somerset from time to time
